Due to the expanded size and nature of this conference, THE AAS PROGRAM & PANEL SESSIONS WILL BEGIN ON THURSDAY MORNING at 8:00AM. Because of this change in schedule, some AAS committees and groups will begin meeting ONE-DAY EARLIER (WEDNESDAY). We will not have meeting space available to groups in the Convention Center during the day on Thursday, as in previous years. We do not schedule meetings-in-conjunction during panel sessions.
There is no cost for room rental. However, all groups reserving meeting space through the AAS and requesting the use of A/V equipment are required to pay a minimal audio/visual fee. Equipment rental and labor charges this year will be approximately $300 per room. Each group will receive a bill from the AAS after the annual conference for the costs of A/V used. We will only arrange for LCD projector and screen set-up in the room. WE DO NOT PROVIDE COMPUTERS, INTERNET CONNECTIONS OR OTHER EQUIPMENT. SHOULD YOU REQUIRE ADDITIONAL A/V BEYOND AN LCD/SCREEN, YOU MUST CONTACT THE FACILITY DIRECTLY AND ARRANGE FOR SET-UP AND PAYMENT IN ADVANCE.
Groups meeting at the hotel on Wednesday will be responsible for arranging and paying the full costs of A/V charged by the hotel.
All catering orders must be placed directly with the hotel or convention center, not through the AAS. You are not allowed to use outside catering for your function. We will provide you with the name of the Event Manager to place catering orders, once we have confirmed and assigned a meeting space.
