What are the official dates?    
The official conference dates are March 16-19, 2017.

Where will the conference be held?
The conference headquarters hotel is the Sheraton Centre Toronto Hotel, 123 Queen Street West, Toronto, Ontario, Canada

 


Travel

What airport will I fly into?
The city of Toronto is serviced by two (2) airports, the Pearson International Airport (YYZ) and the Billy Bishop City Airport (YTZ).

I need to book my flights.  When does the last conference panel/event end?
The last panel session ends at 12:30pm on Sunday, March 19, 2017.

 


Hotel

What is the headquarters hotel for the 2017 AAS Annual Conference?
The Sheraton Centre Toronto will serve as the AAS official headquarters hotel for the 2017 Annual Conference.  This is the only location for the official AAS program and events.


What are the hotel rates?
The AAS has negotiated discount rates at the Sheraton Centre for all conference attendees. Early-bird rates are available September 1 – October 29, 2016. The early-bird rate is $199CAD/night + tax. The AAS standard discounted rate, available after October 29, 2016, is $209CAD/night + tax for single/double. All RATES ARE IN CANADIAN DOLLARS. The last date to reserve hotels rooms at this special discounted rate is February 23, 2017 or while supplies last. Book early, as the AAS room block fills up quickly. 

How do I secure a hotel reservation at the AAS conference rates?
Visit the Hotel Page for a link to the hotel reservations site, or call the hotel directly at 866-716-8101 or 416-361-1000.

Will all activities take place at the Sheraton Centre Toronto Hotel?
Yes. All official panel sessions, keynote addresses, the Book Exhibit, and the Films Expo will take place at the hotel. Additionally, all evening receptions and events will also take place inside the Sheraton Centre Toronto Hotel.

Can the AAS recommend accommodations other than those listed on the website?
We regret that we can only provide information on the contracted hotel listed on our website. The Association for Asian Studies has worked diligently to negotiate reduced rates for all conference attendees. We encourage all attendees to book within the block at the headquarters hotel (Sheraton Centre Toronto Hotel) or any overflow hotels listed on our website. Booking outside the block hurts the association and ultimately raises our expenses, which unfortunately then need to be passed on to the attendees. For this reason, we cannot assist in providing information on any additional hotels.


Registration

What are the registration fees for the 2017 conference?
Registration fees range depending on your membership status and the date of registration. See the Registration Page for more information.

What is the pre-registration cutoff date?

Pre-registration will remain open from September through February 21, 2017. Anyone planning to register for the conference after February 21 must register on-site in Toronto.

When does on-site registration open?
Thursday, March 16, 2017 at 12:00pm on the Concourse Level (one level below the Hotel Lobby).

How do I register?
The AAS has installed a new registration system. You must first either Log in to your account or Create an account. Once logged in, select the registration button; the registration application will display the appropriate pre-registration conference rate based on your membership status (regular member, student member, non-member).

How do I ensure I receive the MEMBER RATE for the conference?
You must be a current AAS Member to receive the discounted conference member rate. If you are an AAS member, the application will display the $140 pre-registration rate for regular members and $60 for student members.


My membership has lapsed. Do I need to renew my membership separately before I register?
If your membership has lapsed, and you would like to join and receive the discounted conference registration rate, you must FIRST submit with payment a membership application.  After membership application is confirmed, you may then register at the member rate.  The discounted rate will be automatically populate in your registration form.

I am not a member of AAS; can I still attend the AAS Conference?
Yes, the AAS welcomes all individuals interested in the AAS Conference to register and attend the conference. Non-member rates will apply.

I submitted a membership application. Does this also confirm my conference attendance?
No. Membership applications cover MEMBER DUES only.  Membership application DO NOT include conference registration fees.  You must complete the conference registration fee application separately.

I am a graduate student but when I
log in the application does not display the $60 conference student pre-registration rate?
You must have joined the AAS in the Student Member category. Student memberships are $35 and require student verification documents. If you have joined the AAS at any other rate and simply selected 'graduate student' as your occupation, you did not join in the $35 student member category.

I am a graduate student but not a member of the AAS. Do you offer non-member student rates?
No, we do not offer student non-member rates for the conference. To obtain the discounted $60 Student Member rate, you must first join the AAS as a Student Member for $35.


I am a panelist but registered after December 1, 2016. Can I get a refund?
As a program panelist, if circumstances arise where you are no longer able to attend the conference, you MUST request a refund before December 1, 2016. If registering after this date as a program panelist, you would not qualify for a refund.

I am a panelist who didn't get to register until after December 1. Can you still include my name in the printed Conference Program?
Because the layout, editing, printing, and shipping of the printed Conference Program takes weeks of preparation, we must adhere to the posted deadlines in order to produce the program in a timely manner.

However, if you register after the December 1st deadline and before the Addendum deadline, your name will appear in the printed Addendum.

I have not received my badge or the Conference Program in the mail. What should I do?
The AAS does not mail conference badges prior to the conference start date. Conference badges and programs will be distributed on-site at the AAS registration counters in the Sheraton Centre Toronto Hotel.

I would like to attend the conference but am unable to afford the registration fee. Are there any fee waiver programs, travel grants, or other discounts/assistance for the conference?

The AAS does not offer registration fee waivers. All individuals interested in attending the Annual Conference must pay the registration fees. This includes all program panelists, council members, and AAS Officers.

The AAS offers a few different cost-saving options for the Annual Conference as noted below:
Student discounts – Student members receive discounted registration with valid student ID

Graduate Student Travel Stipend – Graduate students presenting at the Annual Conference who live more than 100 miles away from Toronto and WHO HAVE PRE-REGISTERED BY THE PARTICIPANT PRE-REGISTRATION DEADLINE OF DECEMBER 1 will receive a travel stipend of approximately $250. Your acceptance on the formal program and pre-registration by the December 1, 2016 deadline is all that is required to receive these funds. There is no separate application. Travel stipends are distributed on-site in Toronto.

LDC Grants – Please refer to the Call for Papers submission guidelines for details on the Late Developing Countries (LDC) Travel Grant program. Grants are only awarded to individuals participating on organized panels; applications must be submitted simultaneously with the original proposal by the Call for Papers deadline of August 9, 2016.

I am having problems registering on the website; what should I do?
The website does not work well with a SAFARI browser.  Please try a different browser such as Internet Explorer, Firefox of Chrome

 


Cancellation/Change Requests

Is there a registration cancellation penalty?
Yes, all refunds will be assessed a $20 cancellation processing fee.

I need to cancel my registration. How do I request a refund?
All registration cancellations must be sent in writing to the AAS. If you are a panelist on the formal program, you must cancel before December 1, 2016 to receive a refund. If you are not participating on the formal program, you must send a refund request in writing before February 21, 2017. After the deadline dates, there are no refunds.

I am a program participant but registered after December 1. Can I get a refund?

As a program participant, if circumstances arise where you are no longer able to attend, you MUST request a refund before December 1, 2016. After this date, you would not qualify for a refund.

I am unable to attend; can I transfer my registration to my colleague?

Call for Papers

When was the deadline for submitting a proposal?
The Call for Papers closed on August 9, 2016. Each year, the Call for Papers opens in June and closes the first week of August.

Do I need to be an AAS Member to submit a conference proposal?
AAS Membership is not required to submit a proposal or to present at the AAS Annual Conference. However, members receive a significantly discounted registration rate.
