GENERAL CONFERENCE QUESTIONS

What are the dates for the Conference?

The 2012 Annual Conference will begin Thursday, March 15, 2012 and will end on Sunday, March 18, 2012.

Where will the Conference be held?

The conference headquarters hotel is the Sheraton Centre Hotel Toronto.

Will all activities take place at the Sheraton Centre Hotel?

All official conference activities will be held at the hotel, including panel sessions, keynote addresses, receptions and any other special events scheduled by the AAS.

I would like to attend but cannot afford the registration fee. Are there any travel grants or other discounts/assistance for the conference?

The AAS offers the following cost saving options for the Annual Conference

  • Student discounts – Student members receive discounted registration with a valid student ID
  • Graduate Students appearing on the formal program: All graduate students presenting at the Annual Conference and pre-registered by the NOVEMBER 18 deadline, will receive a travel stipend for approximately $200. Travel stipends will be disbursed on site in Toronto. Your acceptance on the formal program is all that is required to receive the stipend. There is no separate application.
  • LDC grants – travel grants that are offered at the time of proposal submissions (applications for these grants are not available after August 2011).

 


 

REGISTRATION QUESTIONS

What are the registration fees for the 2011 conference?

Registration fees range depend on membership status. See the registration section for more information.

When can I register for the conference?

Pre-registration closed at 4:00 p.m. EST on February 15, 2012. Anyone interested in registering for the conference after 4:00 p.m. EST on February 15, 2012 will need to register on site in Toronto at the on-site rates.

I am not a member; how can I receive the conference member rate?

You must be a paid member at the time of your conference registration to register at the member rate. If you would like to become a member, simply go to Membership and submit an application and payment for membership. After your membership application has been received and processed, we will charge the reduced conference member rate and the membership fee to your credit card. Please allow 1-3 business days to process this request.

I need to cancel my registration; how do I request a refund?

All registration cancellations must be sent in writing to the AAS. If you are participating on the formal program, you must cancel before December 1, 2011 to receive a refund. If you are not participating on the formal program, you must send a refund request in writing before February 1, 2012. After these deadline dates there are no refunds. All refunds will be assessed a $20 processing fee.

I am a program participant but registered after December 1. Can I get a refund?

As a program participant you MUST request a refund before December 1, 2011. As a program participant, you will not qualify for a refund after December 1, 2011.

I am a program participant who did not register until after December 1. Can you still put my name in the program?

Because the layout, editing, printing and shipping of the Annual Conference Program takes several weeks, we must adhere to strict deadlines in order to produce the Program in a timely manner.

However, if you register after the December 1 deadline and before the Addendum deadline, your name will appear in the printed Addendum.

I am a student. How do I receive the discounted pre-registration rate?

In order to receive the discounted student pre-registration rate you MUST send the AAS a legible copy of your valid student ID with the current year visible at the time of your registration. We will also accept official documentation from your university stating you are currently enrolled. We will not register you at the student rate until we receive this information, even if you have a student membership or are a participant.

I have not received my badge or the conference Program in the mail? What should I do?

The AAS is no longer mailing conference badges or Programs prior to the conference start date. Conference badges and programs will be distributed at the registration counters onsite at the Sheraton Centre Hotel in Toronto.

 


 

HOTEL QUESTIONS

What is the headquarters hotel for the 2012 AAS Annual Conference?

The Sheraton Centre Toronto Hotel will serve as the AAS official headquarters hotel for the 2012 Annual Conference.

What are the hotel rates for the 2012 Conference?

Hotel rates begin at $199 (CAD). Please note that the Hotel rates are in Canadian Dollars.

Will all activities take place at the Sheraton Centre Hotel?

All conference activities will be held at the hotel, including panel sessions, keynote addresses, receptions and any other special events scheduled by the AAS.

Can the AAS recommend other accommodations other than those listed on the website?

We regret that we can only provide information on the contracted hotel listed on our website. The Association for Asian Studies has worked diligently to negotiate reduced rates for all conference attendees. We encourage all attendees to book within the block at the headquarter hotel. Booking outside the block hurts the association and ultimately raises our expenses which unfortunately then need to be passed on to the attendees. For this reason, we can not assist in providing information on any additional hotels.

 


 

CALL FOR PAPERS QUESTIONS

When is the deadline for Call for Papers?

The Call for Papers is now closed; the deadline for proposals was August 4, 2011. The Call for Papers opens each year in May and closes the first week of August.

Do I need to be a member to submit a proposal for the AAS Annual Conference?

Membership is not required to submit a proposal nor is it required to present at the AAS Annual Conference. However, members receive a significantly discounted registration rate.

When will I be notified if my Paper/Panel Proposal has been accepted?

The Program Committee meets in mid-September and selected participants are notified in late September.
